The personal information that you are asked to provide, and the reasons why you are asked to provide it, will be made clear to you at the point we ask you to provide your personal information.

Each Service we provide may collect personal information in a manner that is most suitable to its operation.

If you contact us directly, we may receive additional information about you such as your name, email address, phone number, the contents of the message and/or attachments you may send us, and any other information you may choose to provide.

When you register for an Account, we may ask for your contact information, including items such as name, company name, address, email address, and telephone number.

If you become a paid Users of one of our Services, we will store payment information including billing address or card information with our Payment providers.

We collect the content you create, upload, or receive from others during the lifetime of your usage of our Services.

We collect information about the apps, browsers, and devices you use to access our Services. This may include browser type and settings, device type and settings, operating system, mobile network information including carrier name and phone number, and application version number. We also collect information about the interaction of your apps, browsers, and devices with our Services, including IP address, crash reports, system activity, and the date, time, and referrer URL of your request.

We may also collect information about you from trusted partners, including marketing partners who provide us with information about potential clients of our business services, and security partners who provide us with information to protect against abuse. We also receive information from advertisers to provide advertising and research Services on their behalf.

We use various technologies to collect and store information, including cookies, pixel tags, local storage, such as browser web storage or application data caches, databases, and server logs.


How we use your information

We use the information we collect in various ways, including to:

  • Provide, operate, and maintain our Website/Services.
  • Improve, personalize, and expand our Website/Services.
  • Understand, measure and analyze how you use our Website/Services.
  • Develop new products, services, features, and functionality.
  • Communicate with you, either directly or through one of our partners, including for customer Service, to provide you with updates and other information relating to the Website/Services, and for marketing and promotional purposes.
  • Detect, prevent, and respond to fraud, abuse, security risks and technical issues that could harm Micro.company Website/Services and our Users.

We do not sell your data to third parties without your permission. We share your information with our Service providers who help us to provide our Services to you, in which case those third parties are required to comply with our privacy policy and any other adequate technical and organizational measures. We contractually bind these Service providers to keep your information confidential and to use it only for the purpose of providing their Services and pursuant to the applicable privacy legislation in the US. Your agreement to the terms of this Privacy Policy followed by your submission of information in connection with the Service represents your agreement to this practice. If you do not want your information transferred to or processed or stored in the EU or in the United States, you should not use the Service.

Your data is not disclosed to any third party except

(i) for providing the Services you requested and for which Micro.company collaborates with third parties,

(ii) when we have your permission,

(iii) when it is required by a competent authority in the exercise of its duties (for example in order to investigate, prevent, or take action regarding illegal activities), or

(iv) as otherwise required by law.


Data Retention

We retain personal data only for as long as necessary to fulfill the purposes for which it was collected, including to satisfy legal, accounting, or reporting requirements. The retention period depends on the type of data and the context in which it was collected:

  • Account Data – Your account information (name, email, company details) is retained for the duration of your active account. If you delete your account, we will delete or anonymize your personal data within 30 days, unless retention is required by law.
  • Support Ticket Data – Customer support tickets, messages, and conversation history are retained for the lifetime of your account. Upon account deletion, this data is removed within 30 days.
  • Usage and Analytics Data – Aggregated usage data (page views, feature usage) is retained for up to 24 months for service improvement purposes. This data is anonymized and cannot be used to identify individual users.
  • Payment Data – Billing records are retained for the period required by applicable tax and accounting regulations (typically up to 7 years). Credit card information is handled by our payment processors and is not stored on our servers.
  • Third-party Integration Data – Data shared through third-party integrations (such as Slack) is retained only for as long as the integration is active. When you disconnect an integration, associated data is deleted within 30 days.

You may request deletion of your data at any time by contacting us at [email protected]. We will process your request within 30 days, subject to any legal obligations requiring us to retain certain information.


Slack Integration – Data Collection and Handling

When you connect Help.center to your Slack workspace through our Slack integration, we collect, manage, and store certain data to provide the integration functionality. This section explains how we handle data related to the Slack integration.

Data We Collect Through Slack:

  • Slack Workspace Information – We collect your Slack workspace ID and name to establish and maintain the connection between Help.center and your Slack workspace.
  • Slack User Information – We collect Slack user IDs and display names of users that are linked to Help.center agents. This is necessary to send notifications to the correct individuals.
  • Authentication Tokens – We store OAuth access tokens provided by Slack to send notifications to your workspace. These tokens are encrypted and stored securely.

How We Use Slack Data:

  • To send real-time notifications about new support tickets, customer replies, and discussion updates to your designated Slack channels and users.
  • To link Help.center support agents with their corresponding Slack accounts for targeted notification delivery.
  • To maintain the active connection between Help.center and your Slack workspace.

Data Storage and Security:

  • Slack integration data is stored in our servers hosted on AWS in the EU region.
  • OAuth tokens are encrypted at rest.
  • We do not store the content of your Slack messages or access any Slack channels beyond what is required for delivering notifications.
  • We do not sell, share, or use Slack data for advertising purposes.

Data Retention for Slack:

Slack integration data is retained only while the integration is active. When you disconnect the Slack integration from Help.center (via Settings → Inbox → Integrations → Slack), all associated Slack data including workspace information, user mappings, and OAuth tokens are deleted within 30 days.

Revoking Access:

You can disconnect the Slack integration at any time from your Help.center dashboard under Settings → Inbox → Integrations → Slack. You may also revoke access directly from your Slack workspace settings. Upon revocation, Help.center will no longer be able to send notifications to your Slack workspace.


CCPA Privacy Rights

Under the CCPA, among other rights, California Clients have the right to:

  • Request that a business that collects a Client’s personal data disclose the categories and specific pieces of personal data that a business has collected about Clients.
  • Request that a business delete any personal data about the Client that a business has collected.
  • Request that a business that sells a Client’s personal data, not sell the Client’s personal data.

If you make a request, we have one month to respond to you. If you would like to exercise any of these rights, please contact us. Each of our Services may have an independent CCPA Privacy document or Agreement that details out steps or measures taken to uphold CCPA in its respective context.


GDPR Data Protection Rights

We would like to make sure you are fully aware of all of your data protection rights. Every Users is entitled to the following:

  • The right to access – You have the right to request copies of your personal data. We may charge you a small fee for this Service.
  • The right to rectification – You have the right to request that we correct any information you believe is inaccurate. You also have the right to request that we complete the information you believe is incomplete.
  • The right to erasure – You have the right to request that we erase your personal data, under certain conditions.
  • The right to restrict processing – You have the right to request that we restrict the processing of your personal data, under certain conditions.
  • The right to object to processing – You have the right to object to our processing of your personal data, under certain conditions.
  • The right to data portability – You have the right to request that we transfer the data that we have collected to another organization, or directly to you, under certain conditions.

If you make a request, we have one month to respond to you. If you would like to exercise any of these rights, please contact us. Each of our Services may have an independent GDPR document or Agreement that details out steps or measures taken to uphold GDPR in its respective context.


Children's Information

Another part of our priority is adding protection for children while using the internet. We encourage parents and guardians to observe, participate in, and/or monitor and guide their online activity.


If you think that your child (under the age of 13) has provided Personal Identifiable Information,

on our Website or on other Services, we strongly encourage you to contact us immediately and we will do our best efforts to promptly remove such information from our records.


Future Changes

We may amend this Privacy Policy from time to time. You may be required to accept the amended Privacy Policy upon logging in to our Service in order to keep using that Service. Alternatively, we may post any material changes to this Privacy Policy on the Site with a notice advising of the changes in advance of the effective date of the changes. We may also notify you of material changes to this Privacy Policy, before the effective date of the changes by sending an email or in another conspicuous manner to give you a reasonable notice period. If you do not agree to the new Privacy Policy, you may terminate using the Service within the applicable thirty (30) day period and you will not be bound by the new terms. Otherwise, the new terms will take effect after thirty (30) days.
